50 Questions to Ask a Fabric Supplier in China Before Ordering

Most lists of questions to ask a fabric supplier in China are long enough to look thorough and still produce a bad order. The problem is usually not the number of questions. It is that the buyer asks for attractive answers instead of evidence that can be used to approve, hold or reject the order.

“Can you make good quality?” invites a yes. “What finished GSM, usable width and tolerance will appear on the signed specification?” creates a decision. The second question can be checked against a sample, production record and receiving inspection.

The 50 questions below are arranged in the order a buyer normally makes commitments: define the product, verify the supplier, approve the specification, compare the commercial offer, control production and release the shipment. They are intended for importers, furniture manufacturers, wholesalers and ecommerce sellers evaluating a fabric supplier in China.

A supplier does not need to have every answer in the first reply. A credible answer can be “this depends on the selected construction; we will confirm it after reviewing the sample.” What matters is whether uncertainty is identified before the deposit, not hidden until production.

Questions 1–7: define what you are actually buying

1. What finished product will this fabric become?

State whether the material is for upholstery, a fitted sofa cover, a loose throw, a seat pad, a curtain, a table textile or another product. The end product changes the relevant width, stretch, drape, seam, care and performance decisions.

2. Where and how will the product be used?

Residential, hospitality, rental, outdoor-exposed and pet-home uses do not share one universal quality standard. Describe the environment before choosing tests or accepting a supplier’s “standard quality.”

3. Which destination market and sales channel will receive it?

A marketplace listing, furniture factory and contract project require different labels, documents, packaging and claim evidence. Tell the supplier the destination and channel without asking them to guess your compliance obligations.

4. Which product form owns this request?

6. Which claims will appear in the listing, label or sales presentation?

7. Which requirements are non-negotiable, and which can move?

Mark the specifications that would cause a rejection. Then identify variables that can be traded, such as color count, packing method, finish or delivery window. A supplier cannot optimize the offer when every preference is presented as equally fixed.

Questions 8–14: verify the supplier behind the quotation

8. Are you the manufacturer, a converter, a trading company or a combined operation?

Each model can be useful. The risk comes from an undisclosed role. Ask which steps are performed in-house, which are subcontracted and who controls the outside process.

9. Which production steps are relevant to this exact fabric?

Do not accept an equipment list unrelated to the order. Map yarn, weaving or knitting, dyeing, printing, finishing, coating, lamination, cutting, sewing and packing to the proposed construction.

10. Which of those steps are done in-house?

In-house production may improve response speed, but it does not automatically prove quality. The useful answer names the step, equipment, control record and person responsible for approving the output.

11. Which steps are outsourced, and how are partner factories controlled?

Ask how specifications, samples, lot identity and inspection results move between companies. A buyer needs continuity of control, not a promise that the partner is “very reliable.”

12. Can you show recent work using the same construction or process?

Request evidence relevant to the material—not another successful product in a different category. Photos can show appearance; specifications, sample IDs and production records show whether the experience is transferable.

13. Who will own technical clarification and order follow-up?

Confirm whether one contact coordinates sales, sampling, production and quality questions or whether the order will pass between departments. The buyer should know who can approve a change and who merely relays messages.

14. What information would you need to refuse or revise this quotation?

Questions 15–23: connect the sample to a bulk specification

15. What is the complete material construction?

Identify the face, backing, coating, lamination or other relevant layers. Composition wording should say which component it describes instead of presenting one fibre percentage as the identity of the complete product.

16. What is the finished GSM and its agreed tolerance?

Confirm that the value refers to finished material under the agreed condition. Greige, washed, coated and laminated states may produce different numbers.

17. What is the minimum usable width?

18. Which yarn and construction fields must remain stable?

Ask for the variables that control appearance and performance for this fabric: yarn specification, density, weave or knit, pile direction, repeat, backing or other construction details. Do not collect fields that nobody will verify.

19. How will the approved color be identified?

Use an identified physical reference when color is commercially important. Agree the viewing condition and what happens if bulk lots differ from the reference or from one another.

20. Is the design directional, and what is the repeat?

Direction and repeat affect cutting yield, panel matching and the appearance of finished furniture or covers. Ask whether pieces may be rotated and how the pattern should align across visible areas.

21. Which finish creates the approved hand feel?

Soft, thick and premium are not measurable specifications. Tie hand feel to an approved sample and record the finishing route that produced it. A change in brushing, softening, coating or lamination can alter more than touch.

22. Is the sample production-representative?

Clarify whether it came from existing stock, a hand sample, a laboratory trial or normal bulk production. The sample can still be useful, but the buyer should know which risks remain unproven.

23. What sample identity will appear on the approval record?

Assign a code, color, construction and revision date. “Approved the beige sample” is not traceable when several beige cuttings have been exchanged through chat and courier.

Questions 24–30: make the commercial offer comparable

24. What exactly is included in the quoted price?

Confirm material state, finish, width, packing, labels, testing, sample charges, tooling and trade terms. Two prices are not comparable when one includes a backing or finished treatment and the other does not.

25. What unit is used for pricing and invoicing?

Metres, yards, kilograms, rolls and finished pieces create different conversion risks. Specify how shortages, overages, roll lengths and packaging weight will be handled.

26. What quantity assumption supports the price?

Ask whether quantity is calculated per color, construction, design, size or total order. A low total MOQ may still hide a high minimum for each variant.

27. Is this a stock offer or a custom-production offer?

Stock can shorten the path to sampling but introduces lot, replenishment and continuity questions. Custom production gives more control but requires confirmed specifications, scheduling and approval gates.

28. Which customization costs are one-time and which recur?

Separate development, artwork, screen, plate, label, packaging and testing charges from unit cost. Confirm which fees apply again when color, design or size changes.

29. How long is the quotation valid, and which inputs can change it?

Material price, exchange rate, quantity, finish, packaging and production timing may affect validity. Ask the supplier to identify the assumptions instead of treating an old quote as a permanent promise.

30. What deposit or payment milestone releases each step?

Connect payment to sample approval, material booking, production and shipment release. This is a commercial-control question, not merely a request for the lowest deposit.

Questions 31–38: define quality evidence before production

31. Which tests are required for the end use and market?

Start with the claim or purchase requirement, then choose the test method and acceptance rule. Avoid requesting a generic “full test” that produces reports nobody can interpret.

32. Which exact SKU, color, finish or layer does each report cover?

A report may be genuine and still irrelevant. Check the sample description, method, result, date, laboratory and scope before treating it as evidence for the order.

33. What are the agreed tolerances for bulk production?

List measurable tolerances for the fields that affect the buying decision. If no tolerance exists, a number on the specification is only a target, not an acceptance rule.

34. Which defects or variations require clarification, correction, hold or rejection?

Define the response as well as the defect. A point-based inspection system, shade rule or width tolerance cannot work if nobody knows who can release an exception.

35. Will a first production run or pre-production sample be reviewed?

For a new construction, color or finish, a production-representative checkpoint may reveal risks that a hand sample cannot. Availability, cost, timing and pause rules should be confirmed for the project.

36. Which in-process checkpoints address irreversible risks?

Place checks before a problem becomes expensive to reverse—for example, before mixed shade lots are packed or before a complete quantity is coated, laminated or cut.

37. How will final roll inspection be performed?

Agree the sampling method, viewing condition, measurements, defect classification and disposition. Final inspection should also verify that earlier approval records exist.

38. What evidence package is required before shipment release?

Questions 39–45: control production changes and timing

39. When does production timing begin?

Clarify whether the clock starts after deposit, specification approval, color approval, material booking or another milestone. A delivery estimate without a start condition is easy to misunderstand.

40. Which approvals can stop or restart the schedule?

Record who approves color, first run, artwork, labels and packaging, and how long the buyer has to respond. Buyer-side delays can be separated from supplier-side delays only when the gate is visible.

41. Which materials or processes are on the critical path?

Ask what has the longest or least flexible lead time. This helps the buyer decide where a substitute is acceptable and where a change would restart production.

42. How will a proposed material or process change be approved?

No substitution should rely on an informal message saying it is “almost the same.” The supplier should state what changes, why, which specification fields are affected and whether a new sample or test is needed.

43. How often will production status be reported?

Choose updates that correspond to meaningful milestones rather than daily reassurance. Useful evidence can include material readiness, approved color, production progress, inspection status and packing completion.

44. What happens if the order cannot meet the agreed window?

Ask for the escalation path: when the buyer is notified, which quantities or colors are affected and what recovery options exist. Do not convert this into an unsupported guarantee.

45. Can partial shipment or split delivery reduce the commercial risk?

Partial shipment can support a launch but may increase freight, documentation and receiving complexity. Evaluate the whole landed decision instead of treating speed as a free benefit.

Questions 46–50: protect receiving, claims and reorders

46. How will rolls, cartons or finished pieces be identified?

Labels should connect the unit to the order, item, color, lot, quantity and inspection record. Traceability is most valuable after a variation is found, when the buyer needs to isolate the affected units.

47. What packaging protects the product on the actual shipping route?

Confirm moisture, dirt, crushing and edge protection, along with carton or roll limits and any vacuum-packing condition. Packaging should match the material and logistics path.

48. Which receiving checks should the buyer perform?

Agree how the buyer will verify quantity, identification, visible condition, width, shade grouping or other critical fields. Receiving inspection should use the same commercial basis as the supplier’s release record.

49. What information must remain stable for a reorder?

Record the approved construction revision, color reference, lot expectations, finish, label and packaging. “Same as last order” is risky when the previous specification cannot be retrieved.

50. Which details still require SKU or project confirmation?

End by listing unresolved MOQ, sample, stock, delivery, test, certificate, performance, packaging and customization conditions. A controlled open item is safer than a confident but unverified promise.

Do not score every answer equally. Use five columns:

  1. Requirement: what the order needs.
  2. Supplier answer: the current proposal.
  3. Evidence: specification, sample, report, image or record.
  4. Status: accepted, conditional, unclear or failed.

Does a factory audit replace product inspection?

OEKO-TEX, REACH and FR Documents: A Buyer Evidence Map

Asking a supplier for “OEKO‑TEX, REACH and FR certificates” sounds careful. It can also produce three documents that answer three different questions—and none that supports the exact SKU, market or listing claim.

The safer approach is to build an evidence map. Start with the product, destination, company role, sales channel and customer-facing claims. Then identify the regulation, certification, test report or declaration that applies. OEKO‑TEX, REACH and FR are not interchangeable

A large certificate folder is not the same as product compliance. A useful file connects each document to a specific decision.

OEKO‑TEX STANDARD 100: verify the label and its scope

OEKO‑TEX describes STANDARD 100 as a label for textiles tested for harmful substances, including articles at stages such as yarn and finished products. That does not mean every product made by a certificate holder is automatically certified. The buyer needs to review the valid label or certificate and confirm that the described article or material scope fits the item being purchased.

Check the product ID or certificate reference, responsible institute, validity, certificate holder, product description and any scope conditions. Use the official OEKO‑TEX standards and certificate information rather than relying on a logo copied into a supplier presentation.

If the listing will say “OEKO‑TEX certified,” the wording must match the actual certified product and current label rules. A certificate for yarn, base fabric or another article group should not be stretched into a finished-product claim without confirmation.

REACH: identify the obligation instead of asking for one universal certificate

REACH is an EU regulatory framework, not a single product certificate issued to cover a factory’s catalog. Obligations can depend on the substance, concentration, article, volume, supply-chain role and other conditions.

ECHA explains that Candidate List substances in articles can trigger notification or communication duties under defined conditions. Its official guidance on Candidate List substances in articles should be the starting point for current EU requirements.

For a sofa cover or textile accessory, the evidence file may include supplier declarations, material information, laboratory reports and supply-chain communication. FR and flammability: method and product scope come first

“FR” has no useful meaning without the destination, product definition, named method, applicable edition, test sample and acceptance result. Requirements for fixed upholstered furniture may not be the same as those for a removable throw, cushion cover, upholstery fabric or other textile component.

For the United States, the CPSC publishes official business guidance on upholstered-furniture flammability requirements. Other markets and projects have their own authorities and scopes. Ask whether the evidence covers:

  • the face fabric, barrier, filling, composite or finished seating assembly;
  • the exact SKU, construction, treatment and color where relevant;
  • the method and edition named by the buyer’s requirement;
  • the same product form being imported and sold;
  • the labeling, certification or recordkeeping obligation that applies to the responsible company.

A flammability report can be valid for its tested sample and still be outside the scope of the buyer’s product.

Map claims to evidence before sending an RFQ

Create one row for every SKU and planned claim. Do this before sample approval, because a late compliance gap can change the material, construction, supplier or listing language.

2. Match the product

3. Check the requirement and method

Confirm that the document addresses the regulation, voluntary program or buyer standard actually requested. For test reports, record the method, sample conditioning, result and scope.

4. Confirm validity and changes

Check dates, validity, current official status and whether later changes to materials, processes or production locations affect applicability.

5. Control the claim

Use customer-facing wording that does not exceed the evidence. “Tested under [method] for [sample]” and “certified product within [scope]” are not the same statement.

Events that should reopen the evidence review

  • changing fiber content, base fabric, backing or coating;
  • adding waterproof, anti-slip, printing, embroidery or other finishing;
  • moving production or changing a relevant supplier;
  • adding a color or treatment not covered by the current evidence;
  • using a base fabric inside a finished cover or furniture assembly;

  4. Which colors, finishes, facilities or article groups are included?

Do not approve a claim until the answers have been reviewed by the person responsible for compliance.

How to Verify a Sofa Textile Factory Before You Order

“Are you a factory or a trading company?” sounds like a sensible sourcing question. It is also easy to answer without proving anything.

A more useful question is: Which parts of this order do you control, which parts are handled by partners, and what evidence connects every step to my approved specification?

That distinction matters in sofa textiles because one product can pass through weaving, dyeing, finishing, lamination, cutting, sewing, inspection and packing. A supplier may control several of those stages without owning every machine involved. A transparent hybrid production model can be workable. A supplier that hides its real role creates a different risk: when shade, hand feel, dimensions or delivery changes, the buyer may not know who owns the correction.

Start with the production role, not the label

“Factory” is not a complete operating description. Before comparing prices, place the supplier in one of four practical categories:

  • Integrated manufacturer: controls most relevant stages at its own site.

  • Converter or sourcing company: buys materials and coordinates external production, finishing or packing.

A factory may still be weak at export coordination or corrective action. The problem begins when the commercial claim, legal entity, production route and actual responsibility do not match.

This is why factory verification should establish control and traceability, not merely prove that a building contains machines.

Build a process-ownership map for the product

Ask the supplier to map the route for the exact sofa cover, throw, cushion or fabric you are considering. A generic company presentation is not enough. The map should show who performs each relevant step and what record follows the order.

Five checks that reveal the real operating model

1. Reconcile the legal entity, contract and payment recipient

Request the registered business name, registration details, operating address and production address. Then compare those names with the quotation, pro forma invoice, contract and payment beneficiary.

Different names are not automatically evidence of deception. Export entities, affiliated companies and service providers can be involved. They do require a written explanation of the relationship and a clear statement of which entity carries the commercial obligation.

A company profile cannot resolve a contradiction between the seller named in the contract and the account receiving payment.

2. Ask for a current, product-specific walkthrough

Recorded factory footage shows that somebody had access to a production site at some point. It does not establish that the site is making your product.

Arrange a live walkthrough during agreed business hours. Ask the supplier to follow the actual product route: material storage, the relevant production area, inspection and packing. Use one or two specific references from the quotation—construction, colour, size or packing method—so the call tests familiarity with the project.

An immediate call is not a fair universal requirement. Production may be at another building, access may be restricted, or the order may not yet be scheduled. What matters is whether the supplier can arrange a relevant walkthrough and reconcile what you see with the written process map.

3. Connect the approved sample to bulk production

A good sample proves that an acceptable sample can be made. It does not prove that bulk goods will use the same construction, colour standard or finishing route.

Give the approved sample a reference code. Record the material composition, finished GSM where relevant, usable width for roll goods, dimensions, colour reference, edge treatment, backing, packaging and any performance requirement. Ask how that reference will appear on the production work order and final inspection record.

If the supplier cannot show how the approval becomes a production instruction, the sample is disconnected from the order.

4. Verify documents by scope, not by logo

Certificates and test reports can support a buying decision only when their scope matches the request. Check the issuing body, holder name, product or material covered, test standard, result, date and validity where applicable.

Do not assume one certificate covers every colour, finish or finished product. The required evidence depends on the target market and SKU. Use the buyer evidence map for OEKO-TEX, REACH and FR documents to decide what must be confirmed before an order.

5. Test responsibility with one controlled exception

Ask what happens if one agreed characteristic falls outside the approved specification. Choose a realistic example: a colour approval fails, finished dimensions fall outside the agreed tolerance, or the packing configuration changes.

During the call: review the exact quotation, walk through the relevant production and inspection areas, and trace one sample or current SKU through material identification, production and packing. If a partner performs a stage, ask how that stage is controlled and documented.

After the call: write a short recap. List which steps are in-house, which are external, which documents are still pending and which specifications will govern the sample or pilot order. Ask the supplier to confirm the recap in writing.

The decision rule

Proceed when the legal entity, payment route, process map, live evidence and product records tell the same story.

Clarify rather than reject when a supplier openly uses partner capacity and can show how responsibility and traceability are maintained. Consider a controlled sample or pilot order when the evidence is credible but bulk consistency has not yet been demonstrated.

Pause when the payment recipient cannot be explained, documents do not match the product, the production story changes repeatedly, or the supplier refuses to define who owns quality decisions.

A trading company is not automatically the wrong supplier, and a factory label is not automatically the right one. The sourcing risk is an operating role that remains hidden until something goes wrong.

A photograph and the label “three-seat sofa” are enough to begin a conversation. They are not enough to cut a fitted cover or build a reliable size chart.

The useful supplier question is not “What are the three measurements?” It is “Which three groups of measurements define this product architecture?” A one-piece stretch cover, a loose sofa throw, individual seat pads and a recliner cover do not use the same intake sheet.

When a supplier quotes before identifying that architecture, the price may be an estimate based on an internal template. That can be acceptable at an early stage, but it should not be mistaken for a confirmed bulk specification.

First decide what type of cover is being measured

The measurement brief begins with product form:

  • One-piece fitted cover: must follow the sofa envelope, arm profile, seat depth, back height and lower perimeter.
  • Multi-piece fitted set: needs the frame measurements plus the dimensions and quantity of removable cushions.
  • Throw-style cover: is planned around coverage, drape, tuck depth and desired overhang rather than a tight frame fit.

A supplier cannot interpret “sofa width” correctly until the product form is settled. For one design it may mean the widest frame dimension; for another it may mean the finished width of a seat pad.

Measurement group 1: the overall sofa envelope

The envelope describes the maximum space the sofa occupies. For a fitted cover, this normally includes the widest overall width, total depth, overall height and the height of the seat or lower frame above the floor where relevant.

Record what each point includes. Overall width usually spans the outside edges of both arms, while inside seat width excludes them. Total depth may be measured as a straight horizontal projection or along the sofa profile; those are not interchangeable values.

The envelope also needs exceptions that change the outline:

  • arms that flare beyond the lower frame;
  • a curved or winged back;
  • attached side cushions;
  • exposed legs or a concealed base;
  • a chaise or return section;
  • controls, pockets, handles or openings that must remain accessible.

This group tells the pattern maker whether the cover can reach the outside boundaries. It does not yet explain how the cover should sit across the seating area.

Measurement group 2: seating zones and cushion geometry

The second group describes where people sit and where the cover must change direction. Useful dimensions may include inside seat width, usable seat depth, cushion thickness, cushion count, back height measured above the seat, arm width and arm height.

For loose cushions, identify whether each cushion is removable and whether it needs an individual cover. Photograph the zipper or attachment point. Two sofas with the same outside width can require different patterns when one has a single bench cushion and the other has three separated cushions.

Seat depth also needs a defined endpoint. Measuring only the loose cushion may omit the front wrap or the material needed to reach a tuck point. Measuring the full frame without describing the cushion may overstate the usable seating zone. Mark both points on a side-view photo.

Measurement group 3: profile, drop and movement

The third group captures the shape that a few headline numbers miss.

For a fixed sofa, document the arm profile, back angle, front-rail curve, desired skirt or overhang, and the lower perimeter where elastic, ties or a hem may sit. A rolled arm and a narrow square arm can share the same overall width while requiring very different material distribution.

For a motion sofa, measure and photograph the relevant sections both closed and open. Note the path of the footrest, headrest or sleeper frame. Any strap, seam or drop panel close to that path must be reviewed for interference.

For a sectional, provide a plan view and state the viewing direction used for “left” and “right.” Marketplaces and factories do not always use orientation terms consistently. A simple labelled sketch prevents the correct measurement being assigned to the wrong module.

The photograph is part of the measurement record

A useful measurement pack does not separate numbers from images. Each important dimension should be visible on a labelled front, side, back or plan-view photograph.

Use one unit system throughout the file, or show both units clearly. State whether the tape follows a curve or spans a straight line. Keep the tape level where a horizontal measurement is intended, and avoid pulling soft upholstery into a different shape.

A practical photo set often includes:

  • front view with overall and inside widths;
  • side view with depth, seat height and back profile;
  • back view showing the widest point and any taper;
  • top view or sketch showing cushions and sectional modules;
  • close-ups of crevices, arms, controls and attachment points;
  • open and closed views of any moving mechanism.

Photographs also expose ambiguity early. If the tape endpoint cannot be seen, the production team is likely to interpret the number differently.

How measurement changes the supplier quote

Measurements influence more than finished size. They affect pattern pieces, seam positions, material consumption, usable-width planning, elastic length, backing zones, packing volume and the number of size variants needed for the market.

Material behaviour matters too. A stretch construction may cover a fit range that a low-stretch woven cover cannot. A throw can tolerate drape; a fitted cushion cover cannot. The supplier should therefore connect the measurement brief to the approved material and construction rather than pricing the shape in isolation.

Turn the measurement pack into a sample standard

The sample should be evaluated on a named reference sofa or fixture, not only held up for a photograph. Record:

  1. the measurement sheet and photo revision used;
  2. the material, construction and stretch direction;
  3. the installation method and intended retention points;
  4. the locations where fit is judged—arms, seat, back, corners and lower edge;
  5. the agreed appearance and dimensional acceptance conditions;
  6. any exclusions, such as oversized arms, fixed cushions or recliner mechanisms.

“Easy care” is not a finish that exists independently of cleaning. It describes how a product behaves inside the hotel’s actual maintenance routine.

Ask housekeeping or the facilities team to define:

The “Grade A” Arrival

Your purchase order says “Grade A chenille.” The supplier’s salesperson confirmed it on a video call. The fair sample in your office looks dense, soft, and even.

When the container arrives, your cutting supervisor sets three rolls side by side. Roll one and roll two match. Roll three has a noticeably different tone. A fourth roll shows a repeating slub that will be visible on a tight seat cushion.

The supplier’s quality team says the goods passed as “Grade A.” Your production manager says they cannot be used in this batch.

Both sides are looking at the same two words. Neither side is looking at the same definition.

This scenario is a composite illustration, not a single recorded case. It collects the most common quality conversations in sofa-fabric sourcing.

Why the Old Way Fails

Grade labels fail because they were never designed to carry the weight buyers put on them.

A grade label is a factory sorting mark. It says a roll matched that factory’s internal idea of acceptable. It does not say how the fabric performs on a sofa frame, under a cutting knife, or in a customer’s living room.

When you buy on a grade label alone, you are buying a conclusion without the evidence behind it.

A grade label also does not predict performance. Pilling, colorfastness, shrinkage, and abrasion are measured by test methods, not by sorting labels. If your market requires a performance level, write the test method and the limit into the specification, and confirm the certificate against the exact SKU before ordering.

Layer 3: The label cannot manage visual relationships

The fault line in many disputes is not between factory and buyer. It is between two different references.

The supplier’s reference is their internal sorting standard. The buyer’s reference is a fair sample, a color card, or a memory of a previous shipment. A label cannot bridge that gap because it contains no reference.

Shading is the clearest example. Two rolls can each receive “Grade A” from the same inspector and still look different when laid side by side on a three-seater sofa. The label cannot capture a relationship between rolls.

For a 500-meter order of 1.5-meter-wide fabric — 750 square meters in total:

  • Factory 1’s “Grade A” accepts up to 150 defect points.

Same label. Same two letters. The buyer at Factory 1 is accepting two and a half times more defects — and defect points still say nothing about shading, hand-feel, or pile consistency.

Shading creates a second, equally visible gap. Illustrative example: Supplier A allows a shade difference of one grey-scale step between rolls. Supplier B allows only half a step. On a sectional order made of four modular pieces, Supplier B’s fabric will assemble cleanly. Supplier A’s may show a visible transition between modules. Both labels say “Grade A.”
